Migrating to Microsoft 365: What You Need to Know Before the Move

Why migrate to Microsoft 365?

Microsoft 365 (formerly Office 365) has become the de facto standard for business productivity. The combination of familiar applications (Outlook, Word, Excel, Teams) with cloud services (Exchange Online, SharePoint, OneDrive) gives companies flexibility, better collaboration and access to work resources from anywhere.

But migration doesn't just mean moving your email to the cloud. It changes how your team works, communicates and stores information. That's why careful planning makes the difference between a smooth transition and a troubled one.

What needs to be prepared before migration?

Audit of the existing infrastructure — the first step is a complete inventory: how many mailboxes you have, how large they are, which applications depend on on-premises Exchange, which mail flow rules are configured. This audit defines the complexity of the project.

Choosing the right plan — Microsoft 365 offers several plans (Business Basic, Business Standard, Business Premium, Enterprise E3/E5). Each includes different features. The wrong choice means either unnecessary costs or missing features.

Preparing Active Directory — if you use on-premises Active Directory, Azure AD Connect must be configured to synchronize identities. This ensures users sign in with the same credentials both on-premises and in the cloud.

Planning the data migration — emails, calendars, contacts and files must be migrated without loss. The migration can be done in stages (batch migration) to minimize the impact on daily operations.

Microsoft Entra ID — the new digital identity

Microsoft Entra ID (formerly Azure Active Directory) is Microsoft's cloud identity platform. Beyond simple authentication, Entra ID provides Single Sign-On (SSO) for hundreds of SaaS applications, Conditional Access for granular security policies and Identity Protection with automatic detection of suspicious behaviour.

Integration with on-premises Active Directory creates a hybrid identity model, giving users a consistent experience whether they access local or cloud resources.

Common migration mistakes

From the migration projects delivered by Gobalt Solutions, the most common mistakes are: underestimating the time required, neglecting DNS configuration (especially MX, SPF, DKIM and DMARC records), not telling users about upcoming changes and skipping testing before the final cutover.

A well-planned migration usually takes 2–6 weeks for a company with 50–200 users, including preparation, the migration itself and the post-migration stabilization period.

Next step

If you still run an on-premises email server or a Microsoft 365 plan that no longer fits your needs, we can help you assess and plan the migration. Contact Us to discuss your specific situation.
